Job Summary and Qualifications

The Executive Assistant provides high-level and administrative, clerical and special project support to executives of the organization, their management teams and Board.

  • Screens telephone calls and visitors, uses discretion and judgment in ascertaining who can be redirected to subordinate management. Provides information to callers, which requires comprehensive knowledge of company policies, practices, and operations. 
  • Assists with connecting visitors with the appropriate meeting host. 
  • Responsible for retrieving and sorting mail on a daily basis. 
  • Prepares variety of highly confidential, specialized and recurrent reports using word processing, spreadsheet, database and /or presentation software. 
  • Manages special projects as assigned. Plans assignments, conducts research, gathers and compiles information for presentation, and prepares reports as needed. 
  •  Performs broad range of administrative details of confidential nature, to aid executive, that requires initiative and judgment to make independent decisions. 
  • Makes travel arrangements, to include flights, transportation, lodging, and itinerary for assigned executive. 
  • Prepares and submits expense reports and travel reimbursement reports for assigned executive. 
  • Maintains conference room calendars for the System Office. 
  • Maintains calendar for assigned executive and provides administrative support as needed. Coordinates meetings, prepares agenda and reports, takes minutes, responsible for meeting set-up, and responsible for ordering caterings when needed.

Minimum Education and Experience:

  • High School Diploma or GED. College education preferred. 
  • Minimum of 1 year of experience.
