Seeking an Administrative Assistant to join our Case Management team. The Case Manager Assistant will support the Case Managers & Social Workers by carrying out utilization and discharge planning activities as assigned. This will include, but not be limited to communicating clinical information to payers for hospital certification; tracking educational requirements of patient’s/families & assuring they are scheduled and completed; communicating referral information to post-hospital service providers & running worksheets/rounds reports. 
What you will do in this role: 
  • Identify accounts pending clinical review requests from payers & provide through fax or phone the information needed to certify all hospital days. Document transfer of data & outcome in Meditech collections. Inform Case Manager of any adverse outcomes.
  • Print daily admission reports, interdisciplinary rounds forms or any other report needed by the CM or SW.
  • Determine with CM/SW what educational requirements parents have, ie, CPR, Care Seat Training, etc. Coordinate training with parents & hospital staff. Assure parents are compliant with scheduled training & document completion on Kardex. Notify CM/SW of any scheduling issues that may interfere with timely discharge.
  • Receive referrals from CM/SW for post hospital f/u, ie Home Health/DME, ECI, etc. Make calls/fax referrals to vendors/service agencies. Assure parents are aware of when service is to start.
  • Provide information to physicians as directed (ie, PCP Clinical Fax Back, fax notification of Synagis f/u to Pediatrician, assist hospitalists with having correct attending assigned in Meditech, etc.)
  • Assist families with meals/lodging & transportation.
  • Assist parents who have not yet selected a Pediatrician identify one for follow-up.
  • Actively participates in interdisciplinary team meetings, staff meetings, market meetings, etc.
  • Assists with promoting (through the TQM philosophy) teamwork; assists with leading and facilitating department procedures and process improvements.
  • Completes other duties as assigned.


  • High School Diploma with experience in the medical field.
  • Graduate of an accredited nursing program preferred.
  • 3 years of utilization review preferred.
Employee completes initial and ongoing training and competencies as defined by service line, facility and department/unit which are specific to the needs of the patient population served (if applicable).
License and Certification:
  • High School Diploma.
